School Committee Meeting
at the Longfellow School
Monday, April 14, 2014
8:30 am

MINUTES

Attendance: Barbara Meyers, Kelly Sanborn, Cari Alley
Others present: Ben Fulves, Howard Colter, Heather Webster, Jeri Spurling, Phil Whitney, Karin Whitney

I. Call to Order Meeting called to order at 8:30 am at the Longfellow School then adjourned at the Community Center due to there being no heat at Longfellow. The meeting reconvened at the Community Center at 8:37 am.

II. Discussion Items:
● Next Steps Going Forward with Project at ABS: Work needed to be completed at ABS includes: Lead remediation (outside), replace siding, paint outside, skirt roofs (wood cladding lead needs to be replaced). It is the board’s wish with Howard’s approval that the remaining work at ABS does not require an architectural drawings and can be put out to bid as is.
● Next Steps Going Forward with Project at Longfellow: There was discussion regarding the next phase of the project. It was decided to put an add in the Islander for architects to bid on the job to produce construction documents, bid administration, and construction administration. The ad to be placed April 14th to be included in paper on the 17th. Howard’s office would supply a packet including Master Project Worklist, Electronic Existing Conditions, and Master Plan Drawings (To be submitted to Selena from Ben) to interested architects. Any interested architects are encouraged to visit the Longfellow School Building before submitting their Letter of Interest. The deadline for Letters of Interest is May 2nd. The board will then meet on May 6th to go over any interested parties and decide with whom to set up interviews.
● Discussion ensued on the process of picking an architect, what the architect role would entail in working closely with the contractors and the board.
● Ben discussed the breakdown of administration costs.

III. Principal’s Update:
● Heather welcomed Cari to the School Board.
● Several people have approached her expressing interest in the old school car. Heather suggested sending it out to bid by a certain date. Whomever has the highest bid gets the car. All were in agreement.
● The first swimming lesson conflicts with Chuddy’s award ceremony. Heather will contact the YMCA to see if the swim lesson could be switched to the morning for May 2nd only.

IV. Adjournment. Barbara moves to adjourn the meeting at 10:00. Kelly seconds. All in favor. Adjourned.
